Secure platform access management
When you partner with Replystone, we implement a carefully structured access management system.
Here’s how it works:
- Upon signup, you’ll receive a dedicated email address (e.g., [email protected]) or a generic email address (e.g. [email protected]) that serves as your account’s primary identifier.
- This email address is what you’ll use to grant us access to your review platforms like Trustpilot or YELP.
- We’ve designed this system with the principle of least privilege in mind – we only request the minimum permissions necessary to respond to reviews on your behalf. You can read more about it in our setup guides for each platform.
- Your dedicated email address is backed by both Apple ID and Google account integration, protected by robust multi-factor authentication (MFA).
This adds an essential layer of security beyond just password protection, ensuring that access to your review management account remains secure even if credentials are somehow compromised.
We take credential security seriously. All passwords and access tokens are stored in a secure shared password vault system, accessible only to:
- Your dedicated customer agent
- Trained Virtual Assistants assigned to your account
- Essential system administrators
We never share credentials with third parties, and our internal access policies ensure that only team members who need access to perform their duties can view your account information.
For each review platform we manage (such as Trustpilot, G2, or Google Business Profile), we implement additional security measures:
- Enable multi-factor authentication whenever the platform supports it
- Regularly audit access logs and permissions
- Maintain platform-specific security configurations based on best practices
As we don’t live in 2010 anymore, we use external tools to provide efficient and effective review management, like AI technologies to assist with response outlining and reporting. This involves:
- Using trusted AI platforms like OpenRouter with DeepSeek and GPT4 for response outlining
- Processing public review data through these platforms to generate insights
- Implementing secure data handling practices when sharing data with AI services
It’s important to note that we only process publicly available review data through these systems.
No private customer information or internal communications are shared with our AI processing partners.
For businesses that opt into our negative review escalation service, we implement secure communication channels based on your preferences.
During onboarding, you can choose your preferred escalation method:
- Slack
- Discord
- Telegram
- Other communication platforms
These channels are set up with appropriate security configurations and access controls to ensure sensitive communications remain protected.
